Organize a Conference Hub


Organizing a conference hub is easy and simple. We invite all organizations active in the AIDS response to submit their conference hub project. 

What is a conference hub?

Conference hubs are “mini conferences” around the world hosted by local organizations active in the AIDS response, where selected sessions of the conference will be screened and followed by moderated local discussions to examine how the session content can be used to strengthen the local AIDS response . Additional workshops and trainings to strengthen local capacities may also be organized.
There are two types of conference hubs:
  • independent conference hubs hosted by individual or organizations around the world
  • official conference hubs based in Moscow (Russia), Kiev (Ukraine) and Almaty (Kazakhstan).
Why should I organize an independent conference hub in my region?

As not everyone involved in HIV will be able to attend AIDS 2010 in Vienna , the conference hubs are a unique opportunity for scientists, individuals engaged in the community response to AIDS and leaders across many different sectors to benefit from the conference outcomes from their own location. 

Conference hubs will facilitate discussions and debates among local stakeholders to help strengthen the response to HIV and AIDS with the potential to contextualize the outcomes and prepare a comprehensive plan for future actions at the local or regional levels. 

What are the benefits of organizing an independent conference hub?

Independent conference hubs allow organizers to:
  • contribute to the local AIDS response by raising important issues for your community
  • share AIDS 2010 knowledge and best practices with local and regional stakeholders
  • engage local and regional leadership by mobilizing leaders and committing them to concrete actions
  • gain credibility and visibility as an efficient local actor by proving your capacities to mobilize people and resources
  • strengthen local networking in your area and develop new partnerships or fundraising opportunities
  • raise the profile of your organization’s activities among the public and the media.
Who can organize a conference hub?

We welcome any individual or organization active in the AIDS response anywhere around the world. Organizations that may wish to consider hosting an independent conference hub include:
  • local NGOs
  • faith-based organizations
  • clinics and hospitals
  • universities and medical schools
  • government entities
  • UN bodies.
How can I organize a conference hub?

Organizing a hub is easy but needs some human and financial resources, as well as time and leadership. We invite you to identify clearly your organization’s objectives and capacities and the expected outcomes before submitting your hub online. For more information, please read the step-by-step guidelines on how you can organize a conference hub.

Which sessions will be available online?

A complete list of the sessions available online will be available on the AIDS 2010 website in mid-June 2010. Please note that not all conference content will be available online.

AIDS 2010 is working with its online partner – the Kaiser Family Foundation – and the audio-visual supplier to provide:
  • 50 videotaped sessions (e.g, plenary sessions, special sessions, regional sessions), some live-streamed and some delayed
  • PowerPoint presentations with speaker voice (number of available sessions to be confirmed).
Some of the above-mentioned content will be available with a time delay of approximately twenty-four hours.

In which languages will the online sessions be available?

All of the above-mentioned content will be available in English. Some will also be available in Russian. For all other languages, we invite independent conference hubs to organize on-site translation.

How much does it cost?

The conference’s online content (50 videotaped sessions, PowerPoint presentations and podcasts) will be available free of charge.

Many necessary items should be available for free inside your organization or network (venue, computer or projector, translation, etc.). However, the organization of a conference hub may require some additional expenses such as booking a venue, securing a broadband internet connection, securing equipment (such as a computer, projector, screen), providing some food and beverages, and paying for additional human resources if necessary.

The organizations or individuals running a conference hub need to provide the financial resources for all of these expenses. AIDS 2010 does not provide any financial support to independent conference hubs.
